## Summary

Keep Dutch business VAT and admin under control: maintain records, issue invoices, file and pay returns, handle ICP, correct errors and close the year cleanly.

## Overview

Once the business is registered, VAT becomes a recurring operating routine rather than a one-time setup task. You need records that support the return, invoices that belong in the right period, a clear distinction between VAT charged and deductible input VAT, and a process for filing, paying and correcting on time. Cross-border work can add an ICP or another VAT route, while the KOR changes whether regular VAT is charged, deducted and filed. This guide covers that recurring VAT and administration cycle. Starting the business, setting up as a freelancer and filing the annual personal income-tax return remain separate tasks.

## Before you start

Have the Tax Administration correspondence for the business, access to Mijn Belastingdienst Zakelijk through the login route currently offered for your legal form and role, the sales and purchase records for the period, and the bank or payment records that let you reconcile them. First confirm whether a VAT return is actually available and what period has been assigned. Do not assume every business files quarterly or charges VAT. If the KOR or another exemption applies, follow the current exemption rules and do not ignore a return that is still available.

## Which VAT route are you on?

Start with the return actually assigned to the business and the VAT treatment that applies to its sales.

- **A regular VAT return is available in Mijn Belastingdienst Zakelijk** Follow the recurring seven-step route using the assigned return period and deadline. Do not replace that period with a generic quarterly schedule.
- **You participate in the KOR or another VAT exemption applies** Check the current exemption conditions before charging or deducting VAT. While the KOR applies, you generally do not charge VAT, file regular VAT returns or deduct input VAT, but a return that is still available must still be handled until the Tax Administration confirms the route.
- **You sell to business customers or have taxable activity in another EU country** Keep the ordinary administration, then add the current cross-border VAT treatment and an ICP statement where required. The customer's country alone does not determine whether VAT is reverse-charged.
- **Your business is not established in the Netherlands** Use the Tax Administration route for foreign entrepreneurs. Filing and payment deadlines can differ from the default route for businesses established in the Netherlands.

## Steps

### 1. Confirm your VAT status, return period and current login route

Start with what the Tax Administration has assigned to the business. VAT returns can be monthly, quarterly or annual, and the return available in Mijn Belastingdienst Zakelijk shows the operational period and deadline. If the KOR or another exemption applies, check when it takes effect before changing how you invoice or file.

**Do this:** Open the current VAT return or Tax Administration letter, note the return period and deadline, and use the login method currently offered for your legal form and role.

**Documents needed:**
- VAT return letter or the current return in Mijn Belastingdienst Zakelijk
- Your VAT identification number and business details

**Timing:** Check this at the start of each return cycle and whenever the Tax Administration changes the period or VAT status.

> **Common mistake:** Do not assume quarterly filing is universal, and do not ignore a return that is still available because a KOR application is pending or has recently been approved.

### 2. Keep the books current through the return period

A VAT return should come from a controllable administration rather than from reconstructing the period at the deadline. Keep sales invoices, purchase invoices, payment records, debtor and creditor positions, relevant contracts and other records that explain the business transactions and their VAT treatment.

**Do this:** Record sales, purchases and payments as they occur, and separate taxable, exempt and cross-border transactions when their VAT treatment differs.

**Documents needed:**
- Sales and purchase invoices
- Bank and payment records
- Contracts and other transaction records where relevant

**Timing:** Update the administration during the return period rather than waiting until the filing deadline.

> **Common mistake:** Keep records for the statutory retention period. Most business records are kept for 7 years, while records for immovable property and specified special VAT schemes can require 10 years.

### 3. Issue compliant invoices and book them in the correct VAT period

A normal VAT invoice needs the core identity, invoice, supply and VAT fields required by the Tax Administration, including a unique sequential invoice number. Under the invoice system used for business-to-business supplies, the invoice is normally issued no later than the 15th day after the month in which the goods or services were supplied, and the invoice date determines the VAT period subject to the official exceptions.

**Do this:** Use sequential invoice numbers, complete the required invoice fields and record each invoice in the VAT period that follows from the current invoice-system rules.

**Documents needed:**
- The invoice
- Evidence of the supply date where it differs from the invoice date

**Timing:** For the normal invoice system, issue the invoice by the 15th day after the month of supply. Check the official rule for advance payments and other exceptions.

> **Common mistake:** Simplified invoices, exemptions and international transactions can use different rules. Use the current Tax Administration guidance instead of forcing every invoice into one domestic template.

### 4. Reconcile VAT charged with deductible input VAT

Work from the administration to total the VAT charged to customers and the input VAT the business proposes to deduct. Input VAT is deductible only when the current conditions are met, including a qualifying invoice, an actual supply and use for taxable business turnover.

**Do this:** Reconcile the sales VAT to your invoices, then test each material input-VAT deduction against the invoice and business-use conditions before including it.

**Documents needed:**
- Sales VAT reconciliation
- Purchase invoices supporting input-VAT deductions

**Timing:** Complete the reconciliation before filing so the return can be traced back to the underlying records.

> **Common mistake:** Private use, mixed business and private use, or a mix of taxable and exempt turnover can limit the deduction or require a later adjustment. Do not treat every business expense as fully deductible VAT.

### 5. File and pay the VAT return by the assigned deadline

File the return through Mijn Belastingdienst Zakelijk, compatible accounting software or a tax service provider using the period assigned to the business. If a return is due but there is nothing to report, submit a nil return. When the return shows VAT to pay, arrange payment so it reaches the Tax Administration by the payment deadline and use the correct payment reference.

**Do this:** Submit the assigned return, save the confirmation and arrange any payment using the current deadline and payment reference shown by the Tax Administration.

**Documents needed:**
- Completed VAT reconciliation
- Current payment reference when VAT is due
- Submission and payment confirmations

**Timing:** For a business established in the Netherlands, monthly and quarterly returns are generally filed and paid by the last day of the following month; an annual return is due before 1 April. Use the exact deadline shown for your business.

> **Common mistake:** Do not wait for a separate assessment before paying a normal VAT return, and do not treat no turnover as no return when the Tax Administration has assigned one.

### 6. Add ICP or another cross-border VAT route when it applies

Qualifying supplies of goods or services to VAT-reporting business customers in other EU countries can require an opgaaf intracommunautaire prestaties (ICP) in addition to the VAT return. The ICP period can differ from the VAT return period, and the amounts reported must reconcile with the corresponding VAT return entries.

**Do this:** For cross-border transactions, check the current place-of-supply and VAT treatment first, then file ICP or another required international VAT return using the period that applies to that route.

**Documents needed:**
- Customer VAT identification details where required
- Cross-border sales records
- ICP reconciliation to the VAT return

**Timing:** Use the current ICP or international VAT deadline for the transaction type rather than assuming it matches the ordinary VAT period.

> **Common mistake:** A foreign customer does not automatically mean reverse charge or ICP. Check the current rule for the transaction, customer and country before choosing the VAT treatment.

### 7. Correct errors, do the year-end VAT checks and keep the evidence

If an earlier VAT return is wrong, use the current correction route. The Tax Administration allows some corrections through a later return and requires a Suppletie btw for corrections above the current live threshold. In the final VAT return of the year, also check whether private use, mixed taxable and exempt use or other year-end adjustments apply.

**Do this:** Correct errors promptly using the current correction page, complete the year-end VAT checks when applicable, and keep the submitted return, payment evidence and supporting records together.

**Documents needed:**
- Earlier VAT return and the records behind the correction
- Suppletie confirmation where applicable
- Year-end adjustment calculations
- Submission and payment evidence

**Timing:** Correct an identified error promptly. Use the live Tax Administration page for the current monetary threshold and the route it requires.

> **Common mistake:** Do not copy an old correction threshold into your process. For a sole trader's annual business profit and personal income tax, move to the separate income-tax guide rather than trying to settle it in the VAT return.

## Documents

- The VAT return letter or current return in Mijn Belastingdienst Zakelijk
- Sales invoices and credit notes for the period
- Purchase invoices and receipts used for VAT deduction
- Bank and payment records used to reconcile invoices
- Contracts or other records needed to explain the VAT treatment of a transaction
- ICP or other cross-border records when relevant

## Costs

- Filing a VAT return yourself through the Tax Administration has no separate filing fee stated by the Tax Administration.
- Accounting software, a bookkeeper or a tax adviser is optional and priced by the provider.
- The amount of VAT payable or refundable depends on the business's transactions and VAT treatment, so this guide does not estimate it.

## Timing

Use the period and exact deadline shown by the Tax Administration. For a business established in the Netherlands, monthly and quarterly returns are generally filed and paid by the last day of the following month, while an annual VAT return is due before 1 April of the following year. Cross-border and foreign-entrepreneur routes can differ, so use the current portal or official page for the route that applies.

## Common mistakes

- Assuming every entrepreneur files VAT quarterly. The Tax Administration assigns the return period.
- Skipping an available VAT return because there was no turnover. If a return is assigned, submit a nil return when there is nothing to report.
- Treating every business expense as fully deductible input VAT without checking the invoice, taxable use and private or exempt-use rules.
- Charging VAT after entering an exemption route without checking when that route actually takes effect.
- Using the customer's country as the only test for international VAT or reverse charge treatment.
- Leaving an error in an earlier return because the amount seems small. Use the current correction route and its live threshold.
- Mixing the recurring VAT return with the annual personal income-tax return. A sole trader's business profit belongs in the annual income-tax return as a separate task.

## Next steps

- Keep the next VAT deadline with the records for the period and use the official Btw-Alert tool if reminders help.
- Save each submitted return and payment confirmation with the invoices and reconciliation behind it.
- If you are a sole trader, use the annual income-tax guide when it is time to report business profit in your personal income-tax return.
- Recheck the KOR, ICP and cross-border guidance whenever the business model, turnover or customer locations change.
